The KazeOS user guide

How every department actually uses KazeOS, day to day — sign-in to shift close. Find your role in the sidebar, or search a topic above. Screens vary slightly by hotel (some departments may not be switched on yet), but the workflow underneath is the same everywhere.

Welcome to KazeOS

KazeOS is one system for the whole property. Every department — Front Desk, Housekeeping, Kitchen, Food & Beverage, Inventory, Finance, Maintenance, HR, IT, Sales, Guest Relations, and Management — works from the same live data, so a room status change, a bill closing, or a stock delivery shows up everywhere it matters, immediately.

You only ever see your own department's tools. What's described in this guide as "IT" or "Finance" is exactly what someone signed in with that role sees — nothing more, nothing hidden.

Signing in

There's one way in: your work email and a one-time code. Nobody picks a role or department at the sign-in screen — KazeOS already knows who you are from your email, and takes you straight to your own dashboard.

  1. Go to your hotel's KazeOS address and choose Sign in with email.
  2. Enter your work email. A six-digit code is sent to that inbox.
  3. Enter the code. You're in.
No password to rememberEvery sign-in uses a fresh code, so there's nothing to forget or reset. If a code doesn't arrive within a minute, check with IT — your email address on file may need updating.

Getting around

Once signed in, your department's tools live in the left-hand navigation. Every role's dashboard opens to the thing that matters most first thing — the arrivals board for Front Desk, the order queue for Kitchen, today's reconciliation for Finance.

A few things are the same everywhere:

  • Announcements — a shared channel every role can read and post to. See Announcements.
  • Your name, top right — opens your own staff profile: photo, ID card, sign-in email. See Your staff profile.
  • Search and date-range filters — most reports and tables can be searched, exported, and (where a report spans time) filtered to a specific date range.
  • Live updates — nothing needs a page refresh. If a colleague on another device changes something you're looking at, it updates on your screen automatically.

Roles & departments

Every account belongs to exactly one department, and one role within it. A handful of roles — IT, GM, Owner, and Chairperson — are property-wide: they can open any department's dashboard to look around, without that being a separate identity switch. Everyone else only ever sees their own department.

Each department (other than IT and Ownership) has one Head of Department role — the supervisor, manager, or chief — who's responsible for that department's own setup. See Activating a department for how a department gets switched on in the first place.

Your first day heading a department

If you're a newly-activated Head of Department (Front Office Supervisor, F&B Manager, Kitchen Supervisor, HR, Chief Engineer, and so on), your very first sign-in lands on a one-time welcome screen — not your normal dashboard.

  1. If your department has an obvious first setup step — room rates, a menu, table layout, rate plans — you'll see a shortcut straight to it.
  2. You can add your first few team members right there: name, role, and email. This is the one time you can add staff yourself — after this, every new hire goes through IT (Staff Accounts).
  3. When you're ready, Continue to my dashboard closes this one-time window for good.
One-way doorOnce you leave this screen, it won't come back. Add whoever you can right away — anyone else needs IT afterward.

Your staff profile

Click your own name anywhere it appears (or go to Staff Accounts / Staff Directory and open yourself) to reach your profile: your photo, your recent activity, and your sign-in settings.

  • Photo — click the camera icon on your own avatar to update it. Only you can change your own photo.
  • Sign-in email — changing it requires a confirmation code sent to the new address first, so nobody can quietly redirect your account to an email they control.
  • ID card — printable, with your photo, name, role, and department. You can always print your own; HR, IT, Owner, and Chairperson can print anyone's (badge printing is limited on purpose — a printable photo ID is an impersonation risk if anyone could produce one for anyone).

Front Desk & Reservations

Front Desk · Front Office Supervisor · Night Auditor

Arrivals, departures, room status, and the property's own books at the end of the day. The Front Office Supervisor additionally owns room setup and pricing; the Night Auditor runs the overnight shift and inherits the department's financial visibility while everyone else sleeps.

Reservations

One list of every arrival and departure, filterable to All, Arrivals, Upcoming (future-dated bookings), or Departures.

New reservation — pick a guest, a bookable room, and a check-in → checkout range on the calendar. A few things the system enforces for you:

  • The rate is never typed in — it's whatever the Front Office Supervisor set for that room type in Room Plans. A room type with no rate plan can't be booked yet.
  • Nights someone else already holds that room are crossed out on the calendar — you can't double-book a room by accident.
  • Any features that room carries (sea view, extra bed — see Rooms) show as automatic upsells added to the total.
  • Marketing consent is opt-in only, per booking.

An existing reservation can be edited (any detail, including room and dates — availability is rechecked against the new dates) or cancelled, right up until check-in.

Check-in is only available once the room's own housekeeping status is Inspected — Housekeeping has to have actually turned the room before a guest can be walked into it. A future-dated arrival can't be checked in early, either.

Check-out is blocked while a balance is owed. Record the payment first (cash, card, or mobile money) — checkout only unlocks once the balance reaches zero.

Full stay"View stay" on any guest opens their complete folio and invoice — every charge posted against their room, from any department, in one place.

Guests

A directory of everyone currently arriving or departing, cross-referenced with their Guest Relations profile (loyalty tier, preferences) where one exists. Quick jump to any guest's invoice from here.

Room Status

Every room, every floor, at a glance — occupancy (Vacant / Occupied / Out of order) alongside Housekeeping's own cleanliness status. Click any room for its full detail page. This view is read-only here — cleanliness itself is only changed from Room Board, by Housekeeping.

Rooms & Room Plans Front Office Supervisor

Rooms is where the physical inventory is set up: add a room (number, floor, room type), mark it VIP, or take it out of service with a reason (excludes it from bookings and availability until returned). Each room can carry its own features / upsells — e.g. "Sea view" at a fixed premium — which show up automatically anywhere that room is booked.

Room type must have a rateA room's type has to match an existing Room Plan before it's bookable. Set the rate in Room Plans first, then create rooms of that type.

Room Plans sets the nightly rate for each room type — the single source of truth Reservations pulls from. Nobody types a rate by hand when booking; it always comes from here.

Shift Handover

A running log so nothing gets lost between shifts — pending tasks, maintenance flags, housekeeping notes. Post a note with a category, and whoever's on next marks it resolved once it's handled.

Financial Records

Front Desk & Reservations' own view into its department's revenue and postings — the same financial visibility every other department head already has for their own department, scoped so it never shows another department's numbers.

Night Audit

The Night Auditor runs the overnight shift with the same Reservations, Room Status, Shift Handover, and Financial Records tools Front Desk uses during the day, plus full Activity History for the department — reviewing the day's business as it closes out.

Housekeeping

Housekeeping · Housekeeping Supervisor

Every occupied or vacant room, sorted so the ones that matter most — a same-day checkout, a VIP, a stayover — surface first.

Room Board

Click the status button to move a room to the next stage. A room marked Clean by a Housekeeping attendant waits for the Housekeeping Supervisor to mark it Inspected — a second pair of eyes before it's ready to sell — except the Supervisor's own board can move a room straight through since they are that second check.

A room currently occupied shows "Occupied, service only" — it can't be cycled through the full checkout flow while a guest is still in it. Each room also carries a notes button for anything worth flagging (a guest request, something broken) tied to that room.

Why Inspected mattersFront Desk can't check a new guest into a room until it reaches Inspected here — this status is the actual gate, not a formality.

Lost & Found

Log an item found on property, and mark it returned once claimed. Shared with Front Desk, since that's usually where a guest asks about a missing item after they've checked out.

Kitchen

Kitchen · Chef (Kitchen Supervisor)

The live ticket queue — every food order sent from a table, worked through to served.

Order Queue

Tickets appear the moment a waiter sends an order from Place Order — food and drink lines split automatically, so Kitchen only ever sees what's actually for the kitchen. Click a ticket to advance it through the queue. A ticket running long is flagged so nothing quietly sits forgotten.

Menu Chef

What Kitchen serves — name, category, price, and whether it's currently available. Toggling an item unavailable pulls it from what waiters can order in Place Order immediately, without deleting it (handy for a temporary 86 on an ingredient).

Order History & Item Sales

Order History is every ticket that's already been served, for reference. Item Sales totals how many of each menu item sold over a date range — the fastest way to see what's actually moving.

Mini Stock

Kitchen's own small consumable stock, separate from the main Inventory & Procurement store — ingredients drawn down as tickets are served, refilled by requisitioning from main stock when it runs low.

Food & Beverage

Waiter · Cashier · Bartender · Barista · F&B Manager · Assistant Manager

Front-of-house service — seating, ordering, and the money changing hands at the end of it.

Tables & Table Setup

Open a table with a guest count and, optionally, link it to an in-house room for a room-service tab. If the table is one of the property's registered tables (set up by the F&B Manager in Table Setup), the guest count can't exceed its actual seating capacity.

Table Setup (F&B Manager) is where the floor's real tables and their capacities are defined, including adding several at once for a fast initial layout.

Place Order & My Orders

Pick a table, search the menu, build the order, and send. It splits automatically — food lines go to Kitchen, drinks go to the Bar — and posts straight to that table's running bill; nothing needs to be re-entered anywhere else. My Orders shows a waiter's own orders and notifies them as items become ready to serve.

Tabs & Bills Cashier · F&B Manager

Every currently open table, and a record of bills already closed today. View / print shows the itemized bill, ready to hand to a guest.

Closing a bill requires a payment method (cash, card, or mobile money) — or Charge to room, which posts it to the guest's own folio instead of collecting cash at the table. Either way, closing requires a confirmation code — money changes hands right here, so a second factor confirms it's really you.

Bar Queue Bartender · Barista

The drinks equivalent of Kitchen's Order Queue — every drink ticket, worked through the same new → preparing → ready flow, plus its own order history.

Waiter Accounts Cashier · F&B Manager

Every waiter's closed bills, totaled for today or any date range — the tool for backtracking who sold what, and reconciling a waiter's shift against what they actually rang up.

Inventory & Procurement

Inventory

The main store everything else draws from — stock levels, incoming orders, and every other department's requests against it.

Stock

Every item's quantity against its par level, with a status that updates automatically as it moves. Adjust a quantity up or down, or Restock to par in one click. Every change — a manual adjustment, a delivery received, stock sent out on a requisition — is written to that item's own history, so "why is this number what it is" always has an answer.

Purchase Orders

Create a PO against a supplier with real line items — item, quantity, and optionally unit cost — then advance it through to delivered. Marking a PO delivered adds every line's quantity straight into Stock automatically; if a line's item name doesn't match anything on record, you'll get a warning rather than a silent miss.

Requisitions

Any department can request stock from the main store — Kitchen, Housekeeping, Front Desk, anyone. Inventory doesn't approve these; Finance does (see Approving requisitions) — Inventory's role is fulfilling an approved requisition out of real stock on hand.

Finance

Finance

Revenue, expenses, requisition approvals, and the one irreversible ritual every property runs once a day: closing the night.

Reports

Revenue and expense reporting across a date range you choose — the property's overall financial picture, not scoped to one department the way other roles' Financial Records are.

Nightly Close

A checklist, one row per department, each cycling PendingReconciled — or Flagged, with a required reason, if something doesn't add up (a POS total that doesn't match postings, for instance). Every department must be reconciled before the night can close.

Alongside the checklist: the Guest Ledger (active in-house folios) and City Ledger (direct-billed corporate accounts) — today's postings on each.

This cannot be undoneClosing the night requires typing CLOSE to confirm. Once closed, every department's numbers for that day lock permanently — nobody, including Finance, can reopen or edit them afterward. Reconcile carefully before confirming.

Money Trail

A chronological trace of postings across departments — useful for following one transaction's path end to end, not just a department's own total.

Invoices

Guest and corporate invoices on record, generated from folios closed out at checkout.

Approving requisitions

Every department's stock request lands here for a decision. Approve only succeeds if the main store actually has enough of that item on hand — it moves the stock from Inventory's main store into that department's own small stock automatically. Decline needs no such check.

Maintenance & Engineering

Maintenance · Chief Engineer

Every physical issue on the property, from a leaking tap to a broken AC unit, before it becomes a guest complaint.

Work Orders

Log a new order with a location, the issue, and a priority (High / Medium / Low), assign it to whoever's handling it, and advance it as work happens. A high-priority open order is exactly what surfaces on the Maintenance dashboard's alert — resolved and done orders never count against it.

Assets

The property's fixed-asset register — equipment, appliances, systems — each with its own history of service, repairs, and replacements over time, not just its current condition.

Human Resources

HR

Staffing, scheduling, attendance, and payroll for the whole property.

Leave Requests

Every time-off request awaiting a decision, and a record of what's already been decided. Approve or decline — there's no separate approval chain, HR is the decision-maker.

Staff Directory

Everyone on the roster, grouped by department, searchable by name, each with a live indicator of whether they're currently online in KazeOS.

Attendance

Who actually showed up, for any day (not the future — there's nothing to record yet for a day that hasn't happened). Click a person's status to cycle it: PresentLateAbsentOn leave. Clock-in/out times and scheduled shift show alongside, pulled straight from the Roster.

Payroll

One record per person, per pay period. Generate payroll creates a pending record for anyone who doesn't already have one that period, using a default base you set (adjust individually after). Each record shows that person's attendance summary for the period alongside base, deductions, and net.

HR-onlyBank details (account number, mobile money number, national ID) are visible only to HR here — not to the staff member themselves, and not to anyone else in the app.

Mark a record paid once it's actually disbursed; it can be reverted back to pending if needed.

Schedules & Roster

Schedules is a read-only view of who's working today, across every department. Roster is where shifts actually get built — day or week view, per department — and every role with staff of their own gets their own Roster to build their department's timetable (not just HR).

Information Technology

IT · property-wide

IT installs the system, provisions every account, and is the one role with visibility into every department at once — administering the system itself, not any one department's day-to-day work.

Property Overview

Every department's live pulse in one grid — occupancy, tickets running long, critical stock, open work orders, reconciliation progress, pending leave, and more — each card linking straight into that department's own dashboard.

This is also where a department gets switched on for the first time: Activate department creates its Head of Department's account directly (name + email — no separate invite code, they just sign in normally once created). A department already staffed but switched off can be reactivated in one click instead, turning its existing accounts back on.

Tickets

Support requests from across the property, with a priority and the reporting department attached. Anyone can send IT a ticket directly from Announcements as well, by checking "Also send to IT" on a post.

Staff Accounts

Add, edit, or deactivate any staff account, in any department. This is the standing way new hires get added to KazeOS, once a department is past its own one-time first-day setup window.

Deactivating ≠ deletingA deactivated account can't sign in, but its history stays intact. Reactivating a whole department, though, requires fresh account details — a deliberate safeguard against quietly reviving stale credentials.

Sales & Distribution

Sales

The booking pipeline beyond individual walk-ins and direct reservations — group business, events, and channel pricing.

Group Bookings & Events

Group Bookings tracks block bookings through the pipeline — Tentative until confirmed. Events (BEO) covers function and banquet business with its own event order details.

Channels & Rate Plans

Channels lists where bookings come from (direct, OTAs, corporate). Rate Plans sets a price per channel — toggle a plan active or paused as pricing strategy changes.

Guest Relations

Guest Relations

Who's staying, what they prefer, and how their stay actually went.

Guest Profiles & Feedback

Guest Profiles holds loyalty tier (Gold / Silver / Standard), visit history, and preferences — searchable, and referenced automatically from Front Desk's own Guests list. Feedback tracks what guests said, with new/unreplied items flagged for follow-up.

Management & Ownership

The property (or portfolio) at a glance, without needing to hunt through every department's own nav to get there.

GM: Departments & Reports

Departments is the GM's own snapshot grid — occupancy, tickets, stock, work orders, reconciliation — each card linking straight into that department's live dashboard. Reports gives the same property-wide reporting Finance has, from the GM's seat.

Owner & Chairperson

Scoped to the whole portfolio, not one property. Properties lists every hotel with occupancy, ADR, and revenue vs. target, expandable for detail, with the ability to flag a property for review (and resolve that flag once addressed). Performance compares trends across the portfolio over time, rather than any single day's noise.

Concepts that show up the same way in every department, gathered in one place.

Activity History & the audit trail

Every meaningful action in KazeOS — a check-in, a bill closed, stock adjusted, a requisition approved — is logged: who, what, when, and which department. Everyone with an Activity History page sees their own department's log. IT, GM, Owner, and Chairperson can additionally see every department's log, with a selector to switch between them or view all at once.

Announcements

One shared channel, everyone signed in. Post to your own department, or to All departments — you can never post as a department you're not part of. Check "Also send to IT" to raise it as a support ticket in the same motion, instead of posting and separately filing a ticket.

Confirmation codes

A handful of actions send a one-time confirmation code to your own email before they complete — closing an F&B bill (money changing hands), and changing your own sign-in email. It's a second factor for the moments that matter, not a routine part of signing in.

Printing

Bills, invoices, ID cards, and most reports are print-ready — use the Print button where you see one rather than your browser's own print command, so only the relevant document prints, not the whole page around it.

Activating a department

A brand-new hotel starts with every department switched off except what's needed to get going. IT activates a department from Property Overview, which creates its Head of Department's account directly — no separate invite code, they sign in the normal way once it exists. That HOD then gets a one-time welcome window to finish their own setup and add their first few staff.

A department can be deactivated later (its staff can't sign in, but nothing is deleted) and reactivated afterward — reactivating asks for fresh account details rather than silently reviving old ones.

Getting help

For anything account-related — a sign-in code not arriving, a role that looks wrong, a department that needs activating — your first call is your property's own IT department. For anything about how a specific workflow is supposed to work that this guide doesn't answer, ask your Head of Department.
